Rapid Steel is proud to be a leading force in the NYC Steel Industry since 1980. We are currently in need of a detail-oriented Office Assistant. The position is Full-Time in-person with competitive pay. Due to the demanding and in-office nature of this position, we will only be considering local candidates.

What You’ll Do

Operational Support & Financial Processing:

  • Phone & Reception: Answer phones, manage incoming calls, and direct inquiries efficiently to the appropriate department.

  • Financial Data Entry: Process and enter daily financial transactions, including EFTs and credit card payments, ensuring accuracy in our systems.

  • Accounts & Payroll: Handle online deposit entry, process Credit Applications, and assist with Payroll data entry.

  • QuickBooks Management: Enter purchase orders into QuickBooks precisely and efficiently (prior QuickBooks experience is a plus).

  • Inventory Support: Order necessary office supplies and essential tools for the warehouse team.

  • Team Collaboration & Administrative Efficiency: Work closely with all departments (Sales, Warehouse, and Management) to ensure a seamless flow of information between the office and the yard.

  • Maintain organized digital and physical filing systems.

  • Contribute ideas and feedback that streamline administrative processes and improve overall team efficiency.

Essential Experience & Skills (Required)

Proven Communication Skills: Must communicate clearly and confidently (over the phone and by email) and manage correspondence effectively.

Process Efficiency: Experience handling administrative tasks, financial entry, and supply ordering.

Software Proficiency: Proficiency in Microsoft Office Suite (Word, Excel) for reporting and file management.

QuickBooks Experience: Prior experience entering purchase orders and managing financial data in QuickBooks is highly desired.

Education: High School Diploma or Equivalent

Schedule, Benefits & Support

SCHEDULE: Monday through Friday, 8:00 AM–4:00 PM 

HEALTH INSURANCE: We cover approximately 70% of your health insurance costs after 90 days. 

PAID TIME OFF: 5 paid PTO/Sick days plus 2 weeks of paid vacation
